Everything you need to know about using Re-presence.

Getting Started

Re-presence transforms your Zoom coaching session recordings into personalized summaries called "Presents" — a gift for your clients that captures what matters most from your time together.

Requirements

  • A Zoom account with cloud recording enabled
  • Audio transcription enabled in your Zoom settings
  • A Google account for signing in

Tip: Enable "Audio transcript" in your Zoom settings under Recording → Cloud Recording to ensure transcripts are generated automatically.

Connecting Your Zoom Account

  1. Sign in to Re-presence using your Google account.
  2. Go to Settings from navigation.
  3. Click "Connect Zoom" in the Zoom Connection section.
  4. Authorize access when redirected to Zoom. You'll be asked to allow Re-presence to access your recordings and transcripts.
  5. You're connected! You can now view your Zoom meetings on the Sessions page.

Note: We only access meetings when you explicitly choose to create a Present. We never access recordings without your action.

Creating Your First Present

  1. Go to Sessions to see your recent Zoom meetings.
  2. Find the meeting you want to create a Present for. Meetings with transcripts available will show a "Create Present" button.
  3. Select a template (optional). Choose from your custom templates or use the default format.
  4. Click "Create Present" to start processing.
  5. Wait for processing. The page will automatically update as your Present is being created. This typically takes 30-60 seconds.
  6. Check your email! Your Present will be delivered directly to your inbox.

Automatic Presents

Instead of manually creating a Present after each session, you can enable automatic processing so that Presents are created for your new meetings without any extra steps.

How to Enable

  1. Go to Settings
  2. Find the Automatic Presents section
  3. Toggle automatic processing on

Requirements

  • Your Zoom account must be connected
  • You must have a default template selected (star a template on the Templates page)

You can also enable an optional failure notification that emails you if automatic processing encounters an error.

Using Templates

Templates let you customize how your Presents are structured. You can create templates that match your coaching methodology and the format your clients expect.

Example Templates

Re-presence includes pre-built example templates you can browse and copy. These cover common coaching formats and are a great starting point for creating your own.

Creating a Template

  1. Go to Templates
  2. Click "New Template"
  3. Give your template a name (e.g., "Weekly Team Standup")
  4. Add an optional description to help you remember what the template is for
  5. Write instructions describing what you want in your Presents. Be specific about sections, tone, and what to highlight.
  6. Choose a delivery format (Email or PDF attachment)
  7. Click "Create Template"

Default Template

You can star a template to set it as your default. The default template is automatically selected when creating a Present and is required for Automatic Presents.

Template Tips

  • Reference your specific methodology or framework in the instructions
  • Describe the tone you want (warm, professional, encouraging)
  • List specific sections you always want included
  • Mention things to avoid (jargon, technical details, etc.)

Meeting History

By default, Re-presence shows the last 3 months of your Zoom meetings on the Sessions page. If you need to access older sessions, you can adjust the lookback period in Settings.

Changing the Lookback Period

  1. Go to Settings
  2. Find the Meeting History section
  3. Switch from Default (3 months) to Custom
  4. Choose a period between 1 and 24 months

Disconnecting & Removing the App

Disconnect from Re-presence

  1. Go to Settings
  2. Click "Disconnect" next to your Zoom connection
  3. Your Zoom tokens will be deleted from our system

Remove from Zoom

To fully remove Re-presence from your Zoom account:

  1. Go to the Zoom App Marketplace
  2. Click Manage → Installed Apps
  3. Find Re-presence and click Uninstall

Delete Your Account

To delete your Re-presence account and all associated data, contact us at support@re-presence.com
