Privacy Policy

Overview

Re-presence is built with privacy at its core. We process your coaching session transcripts to create personalized summaries ("Presents") and deliver them directly to your email. We do not store your session content on our servers.

Information We Collect

Account Information

When you sign in with Google, we receive your name, email address, and profile picture. This is used to identify your account and deliver your Presents.

Zoom Connection

When you connect your Zoom account, we store OAuth tokens that allow us to access your meeting recordings and transcripts on your behalf. We only access meetings you explicitly select for processing.

Session Content (Temporary)

When you create a Present, we temporarily fetch your meeting transcript from Zoom, process it with AI to generate your summary, and immediately deliver the result to your email. The transcript and generated content are not stored — they exist only in memory during processing.

Sent Presents

We keep a log of your processing history (meeting topic, date, template used, delivery status) so you can track what you've created. This metadata does not include the actual session content or generated Presents.

How We Use Your Information

• To authenticate you and manage your account
• To fetch meeting transcripts from Zoom when you request a Present
• To generate personalized session summaries using AI
• To deliver Presents to your email address
• To show you your sent Presents

Third-Party Services

We use the following services to provide Re-presence:

• Zoom — To access your meeting recordings and transcripts
• Google — For authentication (sign-in)
• Anthropic (Claude AI) — To process transcripts and generate Presents
• Resend — To deliver Presents to your email
• Vercel — To host the application
• Neon — To store account data and sent Presents

Each service has its own privacy policy. Your session content is processed by Anthropic's AI but is not stored or used for training purposes.

Data Retention

• Account data: Retained while your account is active
• Zoom tokens: Retained while connected; deleted when you disconnect
• Session content: Not retained — processed in real-time only
• Sent Presents: Retained until you delete individual entries or your account

Your Rights

You can:

• Disconnect your Zoom account at any time from Settings
• Delete individual items from your sent Presents
• Request deletion of your entire account by contacting us

Security

We use industry-standard security measures including encrypted connections (HTTPS), secure OAuth authentication, and encrypted database storage. Your Zoom tokens are stored encrypted and are only used to access Zoom on your behalf.
